Position Profile
Medical Practice Management
Position Summary
Provide operational leadership and direction to ensure completion of medical practice and corporate objectives and goals for a fast paced and growing organization. Responsible for the management of assigned personnel, ancillary departments, and HR functions including payroll. Key involvement in working with the Executive leadership team to plan strategic initiatives and programs including the allocation of staff and resources to meet these objectives.
Essential Position Functions
- Supervise and coordinate the activities of assigned management personnel and ancillary departments, including the review and analysis of key metrics, conducting regular meetings with assigned ancillary department staff, the follow-up of initiatives, and then develops recommendations for operational improvement.
- Daily oversight and direction of the medical practice's clinical office, including staffing levels, clinical processes, training, physician and provider management.
- Reviews and documents clinical processes to improve workflows, eliminate wastes, and create efficiencies to maximize production.
- Work with department leadership to ensure proper staffing levels and the training of staff to meet practice goals.
- Ensure compliance with all regulatory agencies governing health care delivery.
- Prepare reports for Executive leadership that includes the operational effectiveness of the medical office and ancillary department.
- Monitor the practice's compliance with various regulatory and personnel issues including compliance with HIPPA, FLSA, EEO, ADA, OSHA, CT accreditation, etc.
Work with the practices providers on long range strategic plans to support the practice growth and goals, including the implementation of the goals and plans and then monitoring the ongoing effectiveness of the plans.
Position Requirements
- Graduation from a recognized college or university with a degree in business administration, health care administration, or similar degree. Masters degree a plus.
- Five or more years of management and executive level experience in a busy medical office, or multi-physician medical practice is desirable.
- Working knowledge of using process improvement methodology on a day-to-day basis.
- Ability to deal effectively and quickly with patients, physicians, and employees.
- Possess the ability to think on the spot and to clearly make decisions in initiating business office policy.
- Ability to communicate both upwards to leadership and downwards to staff.
- Possesses knowledge of modern office equipment, systems, and procedures.

The position may involve sitting, standing, bending, and stooping. Incumbent must also be able to assist patients in transferring from wheelchair to an exam chair, when necessary. Responsibilities may also require the incumbent to travel between ENTA offices for support purposes. The incumbent must also be capable of lifting up to 25 pounds. - Responsible for the review and approval of bi-weekly payroll and making needed adjustments to the payroll for proper and timely processing.
- Responsible for the day-to-day HR oversight and then working with the centralized HR department on postings for job openings, all employee issues, adherence to HR policy, disciplinary actions, and the proper onboarding of new employees. This also includes the revision of job descriptions and hiring requirements.
