Responsibilities
This position serves as a first point of contact for College of Music Graduate Studies and acts as a liaison among the Offices of Student Success, Admissions, and Graduate Studies in addition to the FSU Graduate School, Registrar, Office of Student Finance, and Center for Global Engagement. This is a highly visible and dynamic position that plays an instrumental role in the academic success of the graduate student population.
Qualifications
A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Responsibilities

This is a highly visible and dynamic position that plays an instrumental role in the academic success of the graduate student population.
- Serves as a first point of contact for the Office of Graduate Studies at the College of Music.
- Works with The Graduate School, the Registrar, Graduate Finance Administrator, and the Center for Global Engagement to ensure compliance with university-level policies and procedures.
- In conjunction with other Office of Student Success personnel, assists both current and prospective students with information concerning programs of study and degree completion.
- Communicates College of Music policies and makes referrals to the Associate Dean for Academic Affairs as needed.
- Serves as the executive assistant to the Associate Dean for Academic Affairs & Director of Graduate Studies, providing comprehensive administrative and programmatic support.
- Works closely with the Assistant Deans for Admissions & Recruitment, Finance & Administration, and Undergraduate Studies to establish internal controls, deadlines,
and facilitate communication. - Creates and maintains reports comprised of student, enrollment, and financial aid data.
- Edits forms and materials used by the Office of Graduate Studies to include handbooks, programs of study, offer letters, internal and external communications, and website content. Maintains required graduate student records to include hard copy and digital files.
- Maintains database of graduate assistantship assignments and tuition waivers. Facilitates communications among administration, area coordinators, and students regarding graduate assistant evaluations, new assistantship offers, and assistantship renewals.
- Prepares, verifies, and issues graduate assistantship offer letters and renewals, ensuring accuracy of stipend levels, funding sources, and tuition waiver terms. Maintains the database of graduate assistantship assignments and tuition waivers, and facilitates communications among administration, area coordinators, and students regarding assistantship evaluations.
- Assumes primary responsibility for waiver and scholarship entry.
- Conducts graduation checks with students, providing thorough evaluation of credits and academic standing, informs students of academic deficiencies, and assists the Director of Graduate Studies with final clearances of all graduate music majors. Assists with questions related to course enrollment, grade changes, transcripts, and course adds/drops.
- Collaborates with OSS on programming as relevant to graduate student population. Assesses student requests and needs, directing students to appropriate resources.
- Is present for and assists with audition days and relevant awards programs at the College of Music.
- Organizes and presents at graduate orientations.
- Supervises and trains OPS and/or graduate student employees as needed to include assignment and oversight of tasks, reviewing and approving work, as well as providing instruction on processes and procedures.
