Job Title: Administrative Associate

We are seeking a dedicated and detail-oriented Administrative Associate to join our team. This multi-faceted role will provide administrative support to the Transportation Department, with a specific focus on payroll tasks. Responsibilities:
  • Manage and maintain office supplies, equipment, and records.
  • Answer phones, direct calls, and handle correspondence (emails, letters, etc.).
  • Schedule and organize meetings, appointments, and travel arrangements.
  • Assist with general office tasks, including filing, data entry, and maintaining digital and physical records.
  • Assist Department Management in developing operational policies and guidance directly related to customer service objectives and expectations.
  • Collect, review, and verify employee work hours, overtime, and absences.
  • Process payroll on a bi-weekly/monthly basis, ensuring accuracy and timeliness.
  • Daily use of the ADP payroll software system.
  • Assist with recruitment activities once they have been turned over by Human Resources, including reviewing applications and scheduling interviews.
  • Coordinate and support employees' onboarding and orientation processes for the Transportation Department.
  • Help coordinate employee training, development, and performance evaluation processes in accordance with the Transportation Department's policies and procedures.

Qualifications:
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 2+ years of experience in administrative support and payroll.
  • Proficient in MS Office (Excel, Word, Outlook) and payroll software systems.
  • Strong understanding of payroll software systems.
  • Excellent organizational skills, attention to detail, and the ability to prioritize tasks.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential information with discretion.

Working Conditions:
  • Full-time position (40 hours per week)
  • Standard office environment
  • Occasional overtime may be required
